This is an important role which will see you working closely and provide overall personal and/or administrative support to the division Partners, Principals & Associate Directors.

Overview of responsibilities

General administration

  • Formatting reports and tenders (adhering to National standards);
  • General data entry / client record management in GreatSoft;
  • Maintaining CRM Dynamics for clients and contacts on behalf of Partners;
  • Maintenance of electronic client file;
  • Generate weekly and monthly reporting;
  • Monitoring of financial information and reporting;
  • Administration of Partners expense claims and corporate card expenses.
  • Organise occasional travel for directors; and
  • Ad hoc support for client events and training conferences.

Managing inboxes and calendars

  • Managing inbox and calendars;
  • Documenting and managing deadlines; and
  • Coordinating meetings.


  • Completing timesheets on behalf of Michael Shatter/Tranquility Clinton; and
  • Making WIP adjustments as necessary.


  • Preparing drafts;
  • Collating information; and
  • Overseeing process from start to finish and ensuring timely submission.

Monthly invoicing

  • Preparing invoices for managers, prior to partner approval;
  • Enter data in an accurate and timely manner;
  • Finalise invoice and issue to client (acting as accounts receivable);
  • Monitoring and follow-up of debtors, including reviewing unallocated receipts for client payments; and
  • Professing offsets/write offs when required.



  • Completion of Year 12
  • Tertiary education


  • Certificate in Business Administration



  • 3 years in a similar role
  • Excellent attention to detail
  • Strong written and verbal communication skills
  • Positive ability to work as part of a team
  • A willingness to work flexible hours
  • Be professionally presented at all times
